TFA Convention - Possible for Oct 1

I had attempted to schedule an annual meeting in May - the date was however canceled by the National Guard Armory in Nashville where we had reserved the date. I have looked at several other locations since then but have not settled on the right mix of price/flexibility (I have no idea how many will attend).
The armory has given me Saturday October 1 as a new date. It is the only date that they have in October.
I need to know
a. will this work for the bulk of TFA members (i.e. is there a big shoot I am not aware of)
b. If I set it around 1pm, do you want me to arrange for BBQ / Fish / etc. (adds to the price)
c. How many will attend
d. Can you come early/stay late for setup or do I need to hire that out.
I would estimate costs at around $15 per person including food.
I would like to know your thoughts on the format of the event? I had anticipated possibly one or two brief guest speakers but I want to spend most of the time in a TFA "business" meeting for TFA. We have elections and committees to deal with.
I need answers and offers for help - quickly - if this is going to happen this year.
